Responsibilities :
- Organize office procedures and implement administrative systems to support smooth operations and employee performance.
- Plan and organize company events, including conferences, team-building activities, and social events, in adherence to regional policies.
- Supervise external teams of staff, including cleaning, maintenance, and security personnel.
- Coordinate transportation and accommodations during team events.
- Manage databases and maintain accurate records.
- Act as the point of contact for external vendors regarding facility-related matters.
- Order and manage stationery and IT equipment.
- Handle correspondence, complaints, and queries efficiently and professionally.
- Prepare documents, presentations, and reports related to facility management.
- Manage and coordinate the company's car fleet.
- Ensure posts are distributed, briefs are delivered, and boxes are packed and sent.
- Implement and maintain office administrative systems and procedures.
- Provide support during employee onboarding and offboarding, including the handover of tools and documents.
- Ensure compliance with Health & Safety policies and regulations.

What you will need
Qualifications :
Professional qualification or experience in Business Administration, Communication, Office Administration, Executive Support, Secretary, or a similar professional service field.Fluent in English, both written and verbal.Experience in a multinational company with a matrix organization, preferably in the field of Office Management, Office Administration, or other service-related fields.Minimum of 2 years of experience as an administrative or office manager.Strong organizational and time-management skills.Excellent problem-solving abilities.Attention to detail and accuracy.Strong interpersonal skills and ability to work well in a team.Advanced computer skills, with the ability to quickly learn new systems and procedures.Hands-on experience with office machines and equipment.Customer-focused with a drive for problem-solving and process optimization.Reliable and discreet.Adaptability and flexibility.Excellent communication and relationship-building skills.Proactive and self-motivated, with a "make it happen" attitude.
