Job description

Taking care of the image of the reception and office

Current tasks at the reception, incl :

guest reception,

answering phone calls and providing necessary information,

service for courier companies (including preparation of shipment specifications, filing complaints

sending / receiving / recording parcels)

assistance in organization of business trips : in accordance with the applicable T&E procedure

coordination of foreign visits

Recording and and managing incoming correspondence (by post, courier, e-mail)

PR / PO creation for all administration related purchases (office supplies, office services, groceries, ordering business cards, envelopes, bags, stamps etc.)

Supervision over Office equipment – ordering consumables (toners), raising tickets to IT in case of a problem with office equipment (printer etc.)

Reports / specification preparation – taxi bills, courier services, business travel invoices and Invoice approval – with cooperation with Administration Manager

Managing parking application

Day to day cooperation with the cleaning service

Day to day cooperation with building facility management

Day to day help to all employees in administration related topics

Other tasks shared by Administration Manager

Qualifications

Good problem solving and organizational skills
Good communication skills with different levels of the organization
Proactive personality with good time management skills
MS Office (Excel critical, some tasks require advanced excel skills)
Hungarian and English (communicative both in writing and speaking)
